The Role

We are looking for an organized and proactive Admin/Ops Assistant (Contractor) to join our team and support our COO and Partner in managing daily operations, documentation, and strategic workflows. This is a remote contract role that requires someone who thrives in a fast-paced, high-growth environment and excels at problem-solving and strategic thinking. Key Responsibilities

Executive Support & Scheduling

Manage calendars and schedule meetings, coordinating across multiple time zones.
Prioritize tasks and help the COO and Partner stay focused on key deliverables.
Inbox & Communication Management

Monitor and manage executive inboxes, flagging or responding to important emails.
Draft emails, internal memos, and client communications as needed.
Operations & Documentation

Keep Standard Operating Procedures (SOPs) up to date.
Assist with reporting, data entry, and documentation.
Track key performance indicators (KPIs) and support reporting for both internal and client needs.
Strategic Support

Identify areas for process improvement and suggest solutions.
Provide research, insights, and action plans to support decision-making.
Fast-Paced Agency Support

Adapt quickly to shifting priorities and changing demands in a fast-paced environment.
Communicate effectively and professionally with both team members and clients.

Highly Organized & Detail-Oriented: You have a knack for managing multiple tasks and ensuring nothing slips through the cracks.
Excellent Communicator: Your written and verbal communication skills are top-notch.
Tech-Savvy: You're comfortable using remote tools like Slack, Google Suite, Asana, and Notion.
Proactive & Self-Sufficient: You take initiative and work independently, without waiting for direction.
Fast Learner: You quickly pick up new workflows and industry-specific tasks.
Experienced in Remote Work: You are skilled at managing your time and collaborating virtually with a distributed team.
Preferred Qualifications

2+ years of experience in administrative, operations, or executive assistant roles.
Experience in marketing, e-commerce, or a digital agency setting is a plus.
Familiarity with project management tools like Asana, ClickUp, or Notion is a bonus.
